Job Title: Office Manager / Administrative Assistant
Location: Ozark, MO
Salary Range: $32,000 - $38,000 per year
Job Summary:
We are seeking a highly organized and proactive Office Manager / Administrative Assistant to join our team. This in-person position offers the opportunity to play a pivotal role in supporting our operations, ensuring efficiency, and contributing to the overall success of our growing company.
Key Responsibilities:
Project Support:
Manage information in operating software (Contractor Foreman).
Perform data entry into Contractor Foreman and spreadsheets.
Issue and track submittals, RFIs, purchase orders, and work orders.
Track subcontractor I-9s and insurance compliance.
Assist with order and inventory tracking for projects and repair parts.
Administrative Tasks:
Organize and maintain Google Drive project files through the sales process.
Help reduce paper files and ensure systems remain up-to-date.
Manage the sample room and other office resources.
Identify system gaps and recommend improvements.
Answer phones and assist with job tracker updates.
Bookkeeping & Financial Tasks:
Add bills/receipts into QuickBooks and reconcile accounts.
Manage accounts receivable, including sending out draws/invoices.
Pick up checks from title companies and deposit them.
Track expenses via operations reports.
Issue and distribute subcontractor checks on Friday afternoons.
Qualifications:
Strong organizational skills and attention to detail.
Ability to multitask and work independently without direct supervision.
Proficiency in Microsoft Office, Google Workspace, and QuickBooks Online.
Quick learner with the ability to adapt to new programs and systems.
Willingness to grow and contribute to company efficiency and success.
Creative problem-solving skills and a proactive mindset.
