Job Title: Office Manager / Administrative Assistant

Location: Ozark, MO

Salary Range: $32,000 - $38,000 per year

Job Summary:
We are seeking a highly organized and proactive Office Manager / Administrative Assistant to join our team. This in-person position offers the opportunity to play a pivotal role in supporting our operations, ensuring efficiency, and contributing to the overall success of our growing company.

Key Responsibilities:

  • Project Support:

    • Manage information in operating software (Contractor Foreman).

    • Perform data entry into Contractor Foreman and spreadsheets.

    • Issue and track submittals, RFIs, purchase orders, and work orders.

    • Track subcontractor I-9s and insurance compliance.

    • Assist with order and inventory tracking for projects and repair parts.

  • Administrative Tasks:

    • Organize and maintain Google Drive project files through the sales process.

    • Help reduce paper files and ensure systems remain up-to-date.

    • Manage the sample room and other office resources.

    • Identify system gaps and recommend improvements.

    • Answer phones and assist with job tracker updates.

  • Bookkeeping & Financial Tasks:

    • Add bills/receipts into QuickBooks and reconcile accounts.

    • Manage accounts receivable, including sending out draws/invoices.

    • Pick up checks from title companies and deposit them.

    • Track expenses via operations reports.

    • Issue and distribute subcontractor checks on Friday afternoons.

Qualifications:

  • Strong organizational skills and attention to detail.

  • Ability to multitask and work independently without direct supervision.

  • Proficiency in Microsoft Office, Google Workspace, and QuickBooks Online.

  • Quick learner with the ability to adapt to new programs and systems.

  • Willingness to grow and contribute to company efficiency and success.

  • Creative problem-solving skills and a proactive mindset.
