Operations Coordinator – Job Description

Position Overview

The Operations Coordinator supports the day-to-day operations of the Springfield Contractors Association with a focus on administrative tasks, event planning logistics, and member communication. This role is essential to keeping the office organized, events on track, and members informed.

Office Administration Role

- Perform daily administrative tasks including front desk service, phones, office supply orders, and vendor coordination
- Assist with accounts receivable and payable, invoice follow-up, and paying bills
- Provide support for workforce development efforts as needed
- Compile the annual membership directory and assist with member outreach
- Follow established procedures and assist in documenting routine tasks

Event Coordination Role

- Coordinate logistics for events and meetings in partnership with volunteer committees
- Track sponsorships and provide support during fundraising and event prep
- Create event income and expense reports and assist with post-event wrap-up

Marketing Role

- Maintain and update website calendar and bid postings
- Prepare and schedule weekly e-newsletters and member communications
- Assist in developing and scheduling social media content
- Maintain consistency in messaging across email, web, and print materials
- Update website content related to news, events, and member spotlights
- Capture photos and highlights during events for use in marketing and newsletters

Preferred Skills & Traits

- Strong organizational and time management skills
- Experienced with QuickBooks Online
- Proficient in Microsoft Office Suite and Google Spreadsheets
- Detail-oriented with the ability to handle multiple tasks efficiently
- Friendly and professional with strong communication skills
- Comfortable working in a support role as part of a team
- Willingness to learn and contribute to a mission-driven team

Additional Details

- Pay range is $50,000-$60,000 a year
- 40 hours a week with overtime expected during event weeks
