Job Summary:
The Development Operations Coordinator supports The Food Bank’s development efforts by maintaining the integrity of donor records through data entry, gift processing, coding, reporting, imports/exports, and queries that enable effective fundraising and stewardship. This position also supports the Development Department through donor relationships to maximize fundraising effectiveness.
Essential Functions:
- Work collaboratively with the Development team to carry out fundraising strategies and activities.
- Support gift processing, including pulling data daily, coding, and preparing acknowledgement letters for gifts.
- Ensure timely and accurate donation entry, acknowledgement, and invoicing.
- Maintain high levels of accuracy in donor and gift records by reviewing to identify discrepancies, reconciling, and correcting data.
- Perform database maintenance and cleanup to improve data integrity and quality.
- Accurately import and export gift and donor data into the CRM (DonorPerfect).
- Provide donor support via phone, mail and email in a timely and professional manner, and record such actions in DonorPerfect.
- Respond to and fulfill database queries, mailing lists and reports that support development operations, decision-making, external reporting and audit requirements (e.g., Feeding America).
- Update and maintain acknowledgment templates within the database.
- Perform monthly reconciliation activities with Finance.
- Execute donor stewardship activities, including mailings, follow-up communications and tribute/memorial cards.
- Create and maintain documentation of database policies and procedures.
- Provide database support and training, including orientation for new development staff.
Additional Responsibilities:
- Assist and support the Development Manager with special campaigns (e.g., Harvest Circle monthly sustainers, Hungerthon)
- Offer general administrative support for the department, as assigned by the Director of Development.
- May provide occasional off-site support for donation outreach, sponsor engagement, and procurement of items for events or employee engagement initiatives.
Physical & Environmental Demands:
- Ability to perform primarily office‑based, desk work, including prolonged periods of sitting and computer use and periodic standing, walking, bending, reaching as well as occasional lifting and/or moving objects up to 20 lbs.
- Work is primarily performed in an office environment within a food bank setting and may involve occasional exposure to a warehouse environment, varying temperatures, and moderate noise levels.
Requirements:
- Demonstrated experience in nonprofit fundraising, event planning or equivalent.
- Proven experience with database entry, maintenance, and data management.
- Proficiency working with CRM systems, such as DonorPerfect, Raiser’s Edge or similar platforms.
- Advanced proficiency in Microsoft Office Suite, including strong skills in Excel (spreadsheets), Word (mail merge), and database functions.
- Exceptional attention to detail with a high level of accuracy in all work.
- Self-motivated and able to work independently with minimal supervision.
- Highly organized, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment while maintaining a positive attitude.
- Excellent verbal and written communication skills.
- Strong interpersonal skills, with the ability to effectively engage with donors, colleagues, and external stakeholders.
- Demonstrated ability to maintain professionalism, accuracy, and strict confidentiality at all times.
- Valid driver’s license and ability to meet organizational driving and insurance eligibility requirements.
- Successful completion of a pre-employment background check and drug screening required.
